Terms and Conditions

Orderly Systems LLC · Effective October 16, 2026 · Version 2026-10-16.1
This document contains the Terms of use, Privacy notice, and Acceptable use rules for the Orderly Systems app and related public service pages. Orderly Systems LLC provides the service. By completing sign-in, you agree to the Terms of use and Acceptable use rules and acknowledge the Privacy notice.

Terms of use

Orderly is an invitation-only business workspace available on the web and supported mobile apps. Use only your own authorized account, protect your sign-in credentials, and access or share information only with its intended audience. Account access, available modules, and administration depend on current permissions and your organization’s configuration.
Your organization’s service agreement and workplace policies also apply where relevant. These terms do not replace employment policies or change the commercial commitments in your organization’s agreement.

Your content and responsibilities

You and your organization retain your existing rights in content you provide. You authorize Orderly and the providers described below to store, process, and display that content as needed to provide the service to its authorized audience. You are responsible for the rights and permissions needed to upload, record, and share it.
Check the sharing audience before submitting information. Obtain permission required for recording other people, and provide only information appropriate for its workplace purpose. You remain responsible for decisions made using the service and for your organization’s recordkeeping requirements.

Requested sign-in messages

Entering your cell number and choosing Send code requests a verification text from Orderly Systems LLC. This program sends requested sign-in codes, not marketing texts. Message frequency depends on your requests. Message and data rates may apply. Email sign-in is available instead; SMS is not a condition of purchasing services.
Reply STOP to stop texts or HELP for help. If you stop texts, use email sign-in or contact chase@orderlysystems.com. Carriers are not liable for delayed or undelivered messages. Never share your sign-in code or password.
Service email includes requested sign-in and recovery messages, invitations, and eligible workplace reminders. People email reminders can be turned off in My settings without removing the associated work or eligible in-app notifications.

Availability and changes

Features and authentication messages may be delayed, unavailable, or changed as the service develops. We may restrict access to protect the service or enforce these rules. Any service-specific availability, payment, or support commitments remain governed by your organization’s agreement.
We publish updates to this document with an effective date and version. If acceptance of a new version is required, the app will ask you to agree at sign-in or through an inline agreement notice before creating or uploading content. Privacy questions, access concerns, and deletion requests can be raised without accepting a new version.

Privacy notice

This notice covers information handled by Orderly Systems LLC when you use the app, shared-recording pages, or website contact forms, and when you contact us. Your organization controls its workplace records, enabled modules, and your access. Contact your organization about its employment and recordkeeping practices; contact us about your Orderly account and our handling of information.
Account information includes names, email addresses, cell numbers, profile photos, account identifiers, memberships, permissions, invitations, authentication information, and policy acceptance versions and times. New code-based provisioning requires a cell number; existing accounts without a usable number can use email sign-in.
Workplace information includes person profiles, titles, departments, reporting relationships, work locations and hours, start dates, responsibilities, expertise, employee references, and emergency contact details where entered. It also includes tasks and comments, schedules and availability, time entries and breaks, time off requests and notes, messages and attachments, Knowledge documents, and related activity history.
Employee document information can include uploaded files, document fields, typed signatures, acknowledgments, consent and completion receipts, review decisions, due and expiration dates, and reminder plans. Training information includes authored materials, assignments, quiz answers, scores, progress, attempts, and completion records. Capture information includes saved microphone audio, titles, timestamps, duration, file details, sharing settings, and library references.
We also handle support and deletion correspondence; report explanations and limited reported-item snapshots; blocking relationships and review decisions; service requests, IP addresses, request times and routes, and response and error information. Website forms collect the details you submit, such as your name, organization, email, message, and optional phone number. Content or supporting files may contain sensitive information; submit only what is appropriate for the purpose and audience.

How information is used and shared

We use information to authenticate accounts, provide authorized workspace features, store and deliver content, maintain activity and completion records, send requested service messages, respond to requests, handle reports and deletion, and secure and troubleshoot the service. The current app has no advertising or advertising-tracking SDKs. When transcription is enabled, newly saved Capture recordings and supported audio/video imports are transcribed automatically using Amazon Transcribe. When you choose to transcribe private Chat dictation, Amazon Transcribe processes that audio too. We send the audio to AWS for speech-to-text processing in its spoken language; this feature does not translate it. Automatic text can contain errors; review it before use. Capture transcripts stay private until their creator explicitly publishes them to the recording audience. Chat dictation becomes editable text and is not sent until you choose Send.
Your organization and chosen recipients receive information according to the relevant module, record, and audience rules. A company membership does not make every personal record visible. Authorized Orderly operators use their permitted access to administer and support the service. A content report permits review of the exact reported item, the explanation, and minimal author context; it does not expose an entire private conversation or unrelated files.
Amazon Web Services provides app hosting, Cognito authentication, database and file storage, Amazon Transcribe speech-to-text processing, and service email and SMS delivery. The marketing website is hosted on Render, and website forms use Resend for email delivery. These providers process information to deliver their services. We may disclose information when required by law or needed to address fraud, security incidents, or threats to people’s rights or safety.
We do not use sign-in phone numbers for marketing or sell them. Mobile information and SMS opt-in consent are not shared with third parties or affiliates for marketing; necessary delivery providers process them to send requested messages. Exported content and external services are handled under their recipients’ or providers’ own practices.

Device permissions and storage

Capture and Chat dictation ask for microphone access when you start recording. Recording occurs in the foreground. File and photo selection gives the app access to the file you choose. Denying microphone access prevents recording; declining file selection prevents that upload. Current features do not require your device’s contacts, SMS inbox, call history, or precise location.
Device or browser storage holds sign-in sessions, preferences, and temporary files used for uploads, downloads, and playback. Signing out clears session and workspace state managed by the app. Files you export or save outside the app remain under your control. Device settings let you revoke microphone or photo access.

Public recording links

Public link sharing is enabled by default for new Capture recordings; the creator can turn it off. Anyone with an enabled link can access the recording and its title without signing in and can pass the link to others. Eligible signed-in users can save a recording reference to their library, including across organizations.
Disabling the link stops public-link access and new saves; it does not remove references already saved by other users. Deleting the source recording stops access through the app, public links, and saved references. Removing your library reference removes only that reference. These actions cannot recall copies exported or recorded independently by recipients.

Security and processing location

Production app connections use HTTPS. Authentication and permission checks restrict ordinary workspace and file access, except for the public recording links described above. Production databases and stored files are configured for encryption at rest. Current app infrastructure is hosted in AWS’s US East (Ohio) region; information may also be processed where our providers operate. These measures reduce risk but do not guarantee absolute security.

Retention and account deletion

We retain account and workplace records to provide the service and preserve organization records and activity history. Signing out, uninstalling the app, or deactivating workspace access does not delete your account or historical data. Removing a visible record or profile photo can leave underlying records or stored file versions.
There is no single automatic purge period for all account data, uploaded files, or original Capture audio/video, playback derivatives and saved transcripts. Those records and versions may remain until reviewed deletion is completed. Operational app logs are configured for 30-day retention and automated database backups for seven days. Retained snapshots, file versions, and organization records have separate retention and disposal requirements.
Request deletion at https://www.orderlysystems.com/delete-account or email chase@orderlysystems.com with the subject Orderly Systems account deletion request. Include your account email and organization name; do not send passwords or authentication codes. Requests do not require signing in. We review the request, verify identity where needed, and explain its scope, outcome, and any retention exception. Our targets are acknowledgment within two business days and fulfillment within 30 days; we explain delays and applicable backup-expiry periods.
Private Chat dictation audio and results are recoverable for at most 24 hours; temporary processing audio is removed after successful transcription and the private job is removed on discard or consumption. Temporary transcription copies and provider results are cleaned up after processing or cancellation, subject to provider completion and retry timing; account deletion includes those copies and results. Database backups expire on the separately stated schedule. Account fulfillment removes authored Capture audio/video, transcripts and their stored versions and clears personal message and comment content. Shared company records are not a blanket exception: business content remains only after specific review removes identifying information or identifies a legitimate legal, security, or recordkeeping requirement. We explain what remains, its purpose, and applicable period. Independently exported copies cannot be recalled.

Your choices and privacy contact

You can edit supported profile fields in My settings, choose what to upload or record, manage your Capture links and library, manage eligible reminder preferences, and sign out. For access, correction, or deletion beyond the app’s controls, contact chase@orderlysystems.com. Orderly is a business service and is not directed to children.

Acceptable use rules

Use Orderly for lawful, respectful business work. Do not post or share harassment, threats, hateful or discriminatory abuse, sexual exploitation or explicit sexual content, graphic violence, illegal content, impersonation, scams, or spam. Do not introduce malware, attempt unauthorized access, or misuse another person’s account.
Respect privacy. Only upload, record, or share content you have permission to provide. Do not use messages, mentions, or shared links to contact someone who has blocked you. Follow the intended audience and workplace purpose of shared records.

Reports, blocking, and enforcement

You can report permitted content or people in the app. Orderly Systems reviews reports and may hide reported content, restrict posting in the relevant organization, or take further action under applicable organization and service policies. Chase Bartlett is the initial report contact at chase@orderlysystems.com. Report submission confirms receipt, not resolution.
Blocking controls your direct contact and chat view without removing shared company work. Reporting, blocking, and requesting deletion do not require accepting a new policy first. For support or concerns you cannot report in the app, contact chase@orderlysystems.com.
